Summer Maintenance Guide for Multifamily Management Companies

|

As the summer season arrives, multifamily management companies must ensure seamless operations and optimal living conditions for residents. Summer brings its own set of challenges – from increased energy consumption to heightened outdoor maintenance needs.

Discover how implementing effective summer maintenance routines can significantly enhance resident safety and satisfaction, improve operational efficiency, and contribute to the preservation of the long-term value of your community.

Preventive maintenance tips for residents

One key aspect of summer maintenance is informing residents about preventative steps they can take to assist in keeping their HVAC systems running smoothly. As the summer heat places additional strain on these systems, here are a few tips to share with residents this season.

  • AC filters: Advise residents to replace their AC filters every 30 days. Clean filters allow for better airflow and help maintain the efficiency of their HVAC system.

  • Thermostat usage: Encourage residents to keep their thermostat at a specific temperature rather than repeatedly turning it off and on. It takes hours for a room to reach one’s desired temperature and beyond popular belief, doing so does not save energy or money.

  • Adjusting vents and fans: For optimal cooling, adjust all AC vents to direct airflow. Additionally, use a two-rotation system for ceiling fans: Counterclockwise in summer for a cooling breeze and clockwise in winter to push warm air downwards.

  • Windows and doors: Remind residents to check if windows and doors are properly sealed to prevent hot air from entering and cool air from escaping.

Proactive communication and emergency preparedness

Clear, engaging and effective communication with residents is of utmost importance, particularly during the months when heat-related emergencies and severe weather can arise. Consistently informing residents of relevant updates and precautions, along with implementing robust safety measures, is essential to their well-being and satisfaction.

Managing AC Outages in Extreme Heat: In states that experience extreme heat, such as Arizona, the possibility of AC outages becomes a significant concern. Deploying proactive communication and contingency plans for such situations can help mitigate any inconvenience or discomfort caused by these outages.

As a best practice, maintenance teams are urged to establish a 24/7 emergency response system with a 15-minute response time to provide residents with swift support during unexpected incidents.

Maintaining exterior integrity: Landscaping, pools and more

Proper exterior maintenance in community spaces is not only a matter of aesthetics but also a fundamental aspect of preserving the longevity and appeal of your multifamily community.

  • Irrigation systems: Inspect and adjust irrigation systems and timers to account for increased watering needs. Ensure there are no leaks or broken sprinkler heads and tailor watering schedules to local weather conditions.

  • Pool upkeep: For a safe and clean swimming environment, pool maintenance is essential. Clean pool surfaces, filters, drains, and promptly repair any damaged equipment.

  • Roof inspection: Schedule a professional inspection with a preferred vendor to identify any signs of rooftop damage or wear. Address repairs in a timely manner to prevent leaks and avoid costly restoration in the future.

  • Painting and sealant: Consider repainting or applying a fresh coat of sealant to protect exterior surfaces from the summer sun's powerful rays. This not only improves look and feel, but it also safeguards against any moisture damage caused by summer storms.

Day-to-day routine services

Preventative maintenance is crucial to year-round operational success; however, day-to-day routine maintenance also remains an important standard practice. Providing this level of 5-star service goes beyond enhancing your residents’ overall living experience – it boosts confidence in knowing they ultimately made the right decision on a place to call home.
